Inbound & Export Planner Supply Intercompany & 3rd Party Sales Volume Beer Order Management SAP Co-Ordination of Orders Placed Co-ordination Functions: Anticipation and co-ordination of travel arrangements for entire team including both local and international travel. Travel arrangements for international consultants / prospective employee candidates. Preparation of their travel itinerary and ensuring that their entire visit to the company / country is co-ordinated. This entails all their travel arrangements, accommodation, transfers as well as co-ordinating meetings for them when they are here. Full support for all new employees which includes the allocation of workstations, extension numbers, computer and IT requirements. Ensuring that all new employees are integrated into the company and give them assistance to ensure that they are familiar with the company / project. Assisting personnel with the coordinating of meetings and functions which will include booking venues, arranging catering, liaising with attendees. Co-ordinating of team members to ensure that they obtain any relevant training they require and that they attend in-house training that is offered. Administrative Functions Implementing administrative measures to ensure efficient functioning of the office. Periodic updating of floor plans / internal extension list. Assisting in the administration of contract documents and secure filing of these. General office administration which includes maintenance, stationery, drivers etc. Ensuring that all monthly timesheets are done team and forwarded to HR. Drafting yearly meeting plans for the team / Compilation of leave schedule for all project members. Obtaining quotes, proofing and ordering of business cards for project members. Ensuring that IT are aware of all new starters on the project so that they can obtaining quotes and complete capex forms for the ordering of all hardware requirements for new staff members. Ordering of staff refreshments for the kitchen / Daily liaison with the maintenance staff, and IT administrators. Secretarial Functions Pro-active management of Project Director, Operations Director, Commercial Director, HR Manager and Health and Safety Manager’s diaries (i.e. meetings, etc.), incoming mail and phone calls. Pro-active planning, preparation and collation of relevant documents (including agendas, meeting packs, presentations, correspondence, reports and minutes) for all meetings / Expediting action lists from meetings. Reviewing and drafting of general correspondence i.e. letters, faxes, word documents. Implementation and maintenance of an efficient document filing system for the Senior Management Team. Management and updating of electronic contacts for Senior Management Team.
